Records & Registers All types of records to be maintained periodically as per the direction of EIC. 1.The caterer Would have to provide additional manpower for special events as required and the caterer would also have to provide substitutes, if their regular staff proceeds on leave, etc. The caterer is required to arrange additional crockery / cutlery material, etc. at his own cost as required for the special events of the AMNS, in consultation with the EIC. 2.The caterer shall provide special lunch/dinner in buffet style whenever required as per earlier confirmed dates at any other place as indicated by AMNS. The menu for the same shall be prepared in consultation with the EIC. Apart from the items indicated in the menu, the caterer has to supply on demand additional items for special lunch / dinner or snacks at the rates mutually agreed (wherever no rate is quoted). The AMNS will carry out periodical inspections of the catering services. 3.Cleaning of the plates and utensils should be done with hot water, soap water and all items should be cleaned in Dish Washer / manually and dried thereof. 4.Penalty as decided by the AMNS, will be imposed on the caterer:- •If there is any dereliction /irregularity in service or delay in service. •If the food supplied by the caterer is substandard /non-quality or insufficient. •If more than 30% of the total participants/staff/guests rate the services provided by the caterer as either average or poor. 5.Penalty will be recovered directly from the invoice of the caterer and the AMNS decision shall be final. In case contractor fails to maintain minimum stock of 15 days, then AMNS reserves the right to buy the same from open market and debit cost of such material from contractor’s bill. The caterer shall be solely responsible for any consequences due to food poisoning. Besides refusal of the entire payment for the sessions, during which such food poisoning has occurred, the AMNS may initiate further stringent action, as it may deem fit. 7. If it is found that there is laxity on the part of the contractor on maintenance of proper hygiene in canteen operations at the kitchen/dining hall in various service points/transport vehicles/personnel handling the food items/surroundings, leaving or storing the crockery/cutleries in place other than the proper locations, stains found due to improper cleaning of plates, utensils, water jugs, water glasses, serving platforms etc., penalty may be levied for each of such violations. The decision of the AMNS is final and binding on the contractor. 8. Any staff of the caterer whose service is not satisfactory would be replaced by the caterer, in consultation with AMNS. 9. Any staff being replaced or newly hired must be hired in consultation with EIC only. All expenses for medical tests and other requirements for gate pass preparation will be borne by the contractor. 10. The amount of penalty may vary from Rs. 500 to Rs. 10000/- per incident depend upon the incident’s frequency as per EIC. Other terms and conditions for running the Industrial Canteen 1. As per present practice the average meal during Lunch is 100 to 120 Meals and morning/evening 50 no’s snacks to be prepared as per the order. But the Contractor must maintain sufficient stock of cooking materials in case of any emergency meal requirement. The Contractor will always, ensure discipline, decent and courteous behaviour by his employee while they remain in premise of the company. In case any of these employees indulging in any act of indiscipline, misbehaviour or indulging in violent acts, the Contractor shall remove the employee concerns from the premises immediately and suitable action as per the law may be initiated against the Employee. 2. Any increase in the price of the meals is not permissible without the prior approval of the authority. Any deviation may lead to termination of contract, imposing fine for this act of violation of contract or both. 3. The Canteen premises should be kept clean and free of unhygienic conditions during the operational activity. 4. The bearer/staff (not below 18 years of age) employed by the Contractor, and they should be neat and clean & with well dressed. The Contractor should not employ below 18 years’ young children as prohibited under the law. 5. The Contractor will be responsible for ensuring safety and maintenance of all the equipment’s installed in the Canteen during the entire period of the contract. 6. In case of failure to adhere to the term and condition by the Contractor, the Management shall have the authority to take over charges of the space allotted to the Contractor for running the Canteen with alternative arrangements. 7. The Contractor shall not sub-let the space/premise allotted to them either in whole or part and shall not be used for other purposes. He must comply all statuary formalities under various labour law i.e., Food licence, contractor labour (R<(>&<)>A Act, Factories Act, Minimum wages Act, payment of wages Act, PF, ESI or insurance as applicable etc) 15. The Contractor shall provide all PPEs (Personal Protective Equipment) like Uniform, Shoe, Id Card, Head Cap, Apron, Service Gloves etc. to its staff while working inside the premises. 16. Contractor will submit the monthly bill within the 3rd of every month, considering deployment period from 1st to 30th or 31st of the previous month along with the previous month all statutory document along with the scrum report. 17. The competent authority or Management Team is fully authorized to impose penalty to the contractor if found any faulty on services. 18. The contractor mandatory must pay salary above minimum wages to each staffs excluding any other expenses and Un Skilled, Semi-Skilled, Skilled and High Skilled employee’s category will final before finalizing the Work Order. 19. The contractor will serve hot & hygienic food for all 365 days of the year and stale food will not be served & if used for consumption then action will be taken against the Agency. 20. Quality items to be used for preparing food after coordinate with competent authority. 21. Vendor will be ensured to procure the dry grocery availability for 15 days at a one-time. Non-veg on weekly three time & Vegetables on daily basis. 22. For catering service at cafeteria and guests house kitchen utensil, cutlery, crockery, glassware, and other electrical appliance will be scope of AM/NS. All the list of closing stock to be updated and share with admin department monthly. 23. PME to be done by joint efforts of AMNS & contractor for the deployed work force. 24. Monthly once internal training and grooming to be done for skill development, health and hygiene, professional proficiency, dining etiquettes and so on.
