Bids Are Invited For Custom Bid for Services - PROVIDING SERVICES FOR Assistance In Planning - A. PROVIDING SERVICES FOR ASSISTANCE/MISCELLANEOUS WORKS AT PLANNING (Semi-skilled) (A Minimum of 4 Semi-Skilled persons who have at least passed 12th standard having computer system knowledge such as MS Office, Advanced excel etc., must be deployed) (2 persons in each shift): i. Receive the cylinders as per ERV & invoicing the load in SAP and handing over the signed invoice copy to Time office security. ii. Upkeep of Planning PC and IT/software related issues to be resolved with help of BITSS/BPCL Helpdesk. iii. Coordination with the distributors and sales officers for execution of daily loads. iv. Preparation of Indent/loading slip and updation of Indent Register as per the PDP. v. Preparation of BDS in line with the DD and posting the subject BDS, documentation of BDS (1- plant copy, 1 copy of courier receipt and 1 copy of bank stamped receipt) and Updation of all BDS Registers. The job also involves posting of all BDS – in case of error to immediately report the Planning InCharge. vi. Preparation of Sales Order to invoice. The Lorry Trip card to be updated and the invoice to be cross checked with the loading slip for the quality invoiced and location dispatched. The invoice is also to be checked for the lorry / transporter details and mainly whether shipment has been created or not. vii. All ERV has to be captured in the system as per the loading slip confirmation – necessary debits to be raised for Caps/ EIS/ TS/ OMC cylinders. viii. Filing of all billing documents / ERV with the consolidated daily sheet on daily basis. ix. All phones calls to be attended and indents to be noted and updated in the PDP as and when required. Other calls relating to load / transport issues to be handled with courteous behaviour and to report the same to Plant In-charge. x. As per approvals – one-way Cyls/DPRs/Bluebooks/SVs/TVs to be invoiced and registers to be updated. xi. In / Out figures of the cylinder are to be matched on daily basis with the gate A, gate B figs and Loading/Unloading shed Tallymen, if any deviation to be analysed on daily basis and to be tallied then and there. The qty of SAP / Gate are to be same, no deviation with any valid reasons. xii. All planning records as per financial guidelines of the plant to be updated on daily basis. xiii. Materials documents for DPT/HR are to be printed and accounted in the register. xiv. New cylinders / any cylinder receipt to be entered in the register and tallied on daily basis. xv. Typing of letters and sending mails to distributors related to planning activities. xvi. Debit notes are to be printed as and when generated. xvii. Reporting to planning In-charge for assistance as and when required in case of extended hours/ holidays/ Sundays as directed by Planning In-Charge. xviii. Co-ordinating with security / Transporter for increasing trip time of packed lorries. xix. Updation of E-way bill as per Invoice value. xx. Any other job as and when required as per instructions from Planning InCharge. xxi. Market return defective cylinders to be properly accounted after certification by FSO/ Planning In-Charge. xxii. Typing of letters and sending mails/making phone calls to transporters related to planning activities. xxiii. Auto LPG Checklist to be made and submit to Planning In-Charge. xxiv. Physical verification Check list of Packed trucks and bulk trucks to be prepared as & when and submit to Planning In-Charge. xxv. Preparation of ADA details of rejected cylinders, DPRs, SC valves as & when and submit to Planning In-Charge. xxvi. Bulk TT Weighment Register to be maintained. xxvii. Packed trucks Second Trip Data to be reported daily to Planning In-Charge. xxviii. Monitoring of Safe Optimum stock of all Consumables such as Delrin cap (VOT & LOT), O-ring, SC valve, Tamper Evident seal, LOT valve, Soap drum, PT Shed paint, Nylon string for Delrin cap, SS clip for Delrin cap, BMCG Additive, DPR and other stationery items such as blue books, SV/TV etc., and submit daily report to Planning In-Charge. xxix. Fitness Certificate and Insurance details of all Packed trucks to be updated and record to be maintained. xxx. VTS monitoring reports to be taken on daily basis and submit to Planning InCharge. xxxi. Monitoring of packed trucks for proper VM boards, crash guards, vehicle documents etc. B. PROVIDING SERVICES AT TIME OFFICE/MAIN GATE(Semi-Skilled): (A Minimum of 2 Semi-Skilled persons who have at least passed 12th standard having computer system knowledge such as MS Office, Advanced excel etc., must be deployed) (1 person in each shift): i. Entry and exit of vehicles in System/ Register at Gate-A/Main gate & GateB/Time Office. ii. Update & Maintain Registers at Main Gate such as: In/Out Register of Packed and Bulk Trucks, Bulk Reporting Register, Auto LPG In/Out Register, Drivers Attendance Register, Black Oil In/Out Register, New/HR Cylinders Register. iii. Co-ordinating with security / Transporters for effective turnaround of packed trucks & Making phone calls to transporters/drivers for packed trucks reporting to plant at the earliest possible time. Any issues at Distributor Godowns must be reported to Planning In-Charge. iv. Monitoring and reporting the vehicle absenteeism details of packed trucks to Planning In-charge. v. Reporting to planning In-charge for assistance as and when required in case of extended hours/ holidays/ Sundays as directed by Planning In-Charge vi. Any other job as and when required as per instructions from Planning InCharge. Total Quantity :
