Bids Are Invited For Custom Bid For Services - Support Services For Official Works - 2.2.1 The scope of work involved in general shall include but not limited to following activities, any one from the category of Highly skilled will also perform the role of supervisor: 2.2.2 Secretarial Services – 2.2.2.1 The work involves providing services like Co-ordinating with all IHB & EPMC personnel, Central & State Authorities, CCO offices, Review of project activities, approvals, Board Meetings, etc. maintaining data/ files/ records, letter drafting, attending to calls, scheduling meetings, filing various forms and any other services as desired/ directed by IHB Officer-in-Charge. 2.2.2.2 The tentative timings shall be from 09:30 am to 6:30 pm or any other timings as communicated by Officerin-Charge. The working days shall generally be from Monday to Friday. However, the services may also be required to be provided on Saturdays/ Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services. 2.2.2.3 Minimum Qualification – The candidate shall be minimum graduate having computer operating skills and knowledge of MS office, should be proficient in English & Hindi with preferably clerical experience. 2.2.2.4 Minimum 1 no. of highly skilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a prorata basis for the duration deployed as per Schedule of Rates. 2.2.3 Service Assistance to Finance Department / Company Secretary - 2.2.3.1 The work involves providing services like work involves providing services like data entry/ checking of data in excel, maintaining data/ files/ records, assistance in filing of various returns, assistance in preparation of finance/ accounting statements, financial data, balance sheets, quarterly/ yearly/ half yearly closing of accounts and any other jobs as directed by Finance Department. To support in Voucher & Entry checking in Excel as per CCO instructions w.r.t. payment instruction for all locations. Documentation & Filing of all doc. & Payment Vouchers and other misc. activities. To support CS in filing of documents and any other jobs as directed by Finance Department. 2.2.3.2 The tentative timings shall be from 09:30 am to 06:30 pm or any other timings as communicated by Officerin-Charge. However, the services may also be required to be provided on Saturdays/ Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services 2.2.3.3 Minimum Qualification – The candidate shall be minimum graduate having commerce background having computer operating skills and knowledge of MS office, should be proficient in English & Hindi. 2.2.3.4 Minimum 2 no. of highly skilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a prorata basis for the duration deployed as per Schedule of Rates. 2.2.4 Service Assistance to Human Resource 2.2.4.1 The work involves providing services like to support in updation of Profiles at vendor’s Portal for deputation employees/ Regular Employees and New joiners with their approving authority. To support in Weekly process of invoices raised by vendors, Clearing Outstanding, Following up with vendorsfor generating Ticket Invoices. To support in evaluation Training feedback forms and processing the same for honorarium payment. Courier Record Entry & Dispatch for daily basis. To support in maintaining and of Medical Bill for all locations on daily basis. To support in IHB Store arrangement and track record for all item daily basis. To support in IHB HR Filing Maintenance. To support in IHB Board Meeting Arrangements (Name plates of dignitaries, Banner / Backdrop, Stationary items). IHB New Join Employees necessary item arrangement like, Nameplate, Joinkit making, Access Card, visiting card and other necessary item. IHB Recruitment Interview TA bill entry for all interview join candidate on recruitment time. Miscellaneous work for IHB office in HR department who need time to time, data entry & maintaining data/ files/ records, assistance in preparation of employee related data, running errands, delivery/ dispatch of documents, assistance in organizing official meetings/ gathering, etc. and any other jobs as directed by Human Resources/ Engg. Department. 2.2.4.2 The tentative timings shall be from 09:30 am to 06:30 pm or any other timings as communicated by Officerin-Charge. However, the services may also be required to be provided on Saturdays/ Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services. 2.2.4.3 Minimum Qualification – The candidate shall be minimum graduate having computer operating skills and knowledge of MS office and should be proficient in English & Hindi. 2.2.4.4 Minimum 2 nos. of highly skilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a prorata basis for the duration deployed as per Schedule of Rates. 2.2.5 Engineering/ Projects Department - 2.2.5.1 To support in review of Cadastral Survey timely to Keep a track on Google Earth. Updating on GIS Database portal & attaching Supporting Documents for Records (SV-Station, Major Crossing Permission) other misc. activities. Prepare Excel sheet of BG & FDR in all states as per the Data provided by the locations and Generating the Summary Sheet. To maintain filing of technical deptt. Other jobs as per the requirements and urgency of works. 2.2.5.2 The tentative timings shall be from 09:30 am to 06:30 pm or any other timings as communicated by Officerin-Charge. However, the services may also be required to be provided on Saturdays/ Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services. 2.2.5.3 Minimum Qualification – The candidate shall be minimum graduate having computer operating skills and knowledge of MS office and should be proficient in English & Hindi. 2.2.5.4 Minimum 1 no. of highly skilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a prorata basis for the duration deployed as per Schedule of Rates. 2.2.6 Office / IT Support Services - 2.2.6.1 The work involves IT Related Activities: Hardware Maintenance: To support in troubleshooting and maintenance of computers, printers, scanners, and other peripherals. To support in Installation, configuration, and troubleshooting of software applications used within the organization. To support monitoring and maintenance of local area networks (LANs), including connectivity and security. To support in providing assistance to employees for IT-related issues and inquiries. To support IT deptt. in implementing and maintaining security measures such as antivirus software, firewalls, and access controls. To support in maintaining records and documentation related to IT systems and support activities. To support in IT related activities during any inhouse training programs or meetings. 2.2.6.1 The tentative timings shall be from 09:30 am to 06:30 pm or any other timings as communicated by Officerin-Charge. However, the services may also be required to be provided on Saturdays/ Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services. 2.2.6.2 Minimum Qualification – The candidate shall be min. Graduate, knowledge of computer, MS office, having good communication skills and adequate knowledge of English and Hindi. 2.2.6.3 Minimum 1 no. of highly skilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a prorata basis for the duration deployed as per Schedule of Rates. 2.2.7 Support Services (Office Attendant) – 2.2.7.1 The work involves Providing support services for discharging day to day activities such as movement of papers, documents, folders within office, sundry works i.e. cleaning tables, filling of water jugs, Tea & snacks to officers, visitor (auditor), to & fro of documents to Pipeline HO, Dak / Dispatch and miscellaneous activities pertaining to the official works at IHB Noida. 2.2.7.2 The tentative timings shall be from 09:00 am to 06:00 pm for one person and 10:00 am to 07:00 pm for another person and duty timing will alternate between them on weekly of fortnightly basis or any other timings as communicated by Officer-in-Charge. The working days shall generally be from Monday to Saturday. However, the services may also be required to be provided on Sundays as and when communicated by Officer-in-Charge and it is the Contractor’s responsibility to ensure un-interrupted services. 2.2.7.3 Minimum Qualification – The candidate shall be minimum 08th Pass. 2.2.7.4 Minimum 2 nos. of Unskilled personnel shall be required. However, the deployment shall be in a phase wise manner as per requirement as communicated by Office-in-Charge and payment shall be made on a pro-rata basis for the duration deployed as per Schedule of Rates. 2.3.0 CONTRACT PERIOD 2.3.1 The contract period shall be 12 (twelve) Months from the date of specific notice issued by Nodal officer/ Engineer-in-Charge of IHB for start of work. 2.3.2 Specific notice for the purpose of the contract as advised by Nodal officer/ Engineer-in-Charge shall be issued within 4 months from the date of issuing of contract/ order. 2.3.3 The personnel shall be deployed in a phase wise manner as per direction of Officer/Engineer-in-Charge. 2.3.4 The rates quoted by the bidder and accepted by the IHB shall be complete, composite and firm for the entire duration of contract and shall be inclusive of all the expenses necessary for the satisfactory continuance of the services envisaged under the of contract. 2.3.5 The contract may be extended further for another period of 12 (Twelve) Months or part thereof on same rate, terms and conditions at the discretion of Owner based on requirement and satisfactory performance. The contract rates settled shall be valid for the duration of the contract. 2.3.6 IHB shall have right to terminate the contract at any time by serving one month’s notice in writing to the Contractor. The contractor shall not be entitled for any additional compensation in the event of such termination of contract. 2.3.7 The Contractor shall have to mobilize adequate resources to maintain the services to the satisfaction of IHB. 2.3.8 In the event of failure on the part of the Contractor to adhere to the contractual provisions, IHB shall be entitled to terminate the contract and Contractor shall forfeit his security deposits. Further, IHB shall also be entitled to carry out the balance works/ balance contract at the risk and cost of existing Contractor including 15% supervision charges on balance executed value. 2.4 FORCE MAJEURE 2.4.1 The term “FORCE MAJEURE” as employed in this contract shall mean wars (declared or undeclared) or revolutions, civil wars, tidal waves, fires, major floods, earthquakes, epidemics, quarantine restrictions and freight embargoes and transporters strikes affecting the country as a whole.
