Scope of Work (Please specify Complete Clarity), In case of Amendment, Please specify reasons in Scope of Work) To provide unskilled manpower for office housekeeping job of various Admin office building at plant area as per area in charge instructions. Housekeeping of building inside Offices, washroom, corridor, terrace, and outside periphery. • Office Housekeeping Services should be provided for 10 Hours on all days including holidays from Monday to Sunday, so that all areas are neat and clean at all the time. • Working Hours – 10 Hours in a day • Manpower details: 22+2 =24. Shift: Morning shift 18+1 = 19 & Evening shift 4+1=5. • Supervisor: Male-1 and Housekeepers: (60% male and 40% Female) • Office Housekeeping Services should be provided for 10 Hours on all days including holidays from 7:00 am to 5:00 pm and 1:00 pm to 11 pm all days including holidays, so that all areas are neat and clean at all the time. Working hours should be adjusted in such a manner that cleaning work in the morning should be completed well before 08:30am at all the locations where work will start at 9:00am. 1. Coverage: - Vendor will supply the required manpower for managing the housekeeping related task, other task as & when required at Plant Admin building and if required as assign by the site In charge or Administration/Head Administration. 2. Supplied manpower will be deployed within the parameter of Administration, majorly manpower will be deployed for Admin buildings & Its surrounding Area. If required may be deployed at outside the parameter as per instruction of area in charge Administration/Head Administration. 3. The manpower will be deployed for internal cleaning work, cleaning of roads, pavements & common areas, garbage collection & waste disposal management or any other job as assigned by the area in charge Administration/Head Administration. 4. No Pedestrian/Cycles/Two Wheelers movement will be allowed inside the Plant Premises. 5. Vendor must ensure availability of sufficient buses/vehicles to ply their associates inside plant premises. Vendors to ensure safe transportation of their associates from their place of residence to respective work location in the plant and back. The movement of persons inside the plant by foot/bicycle/two wheelers is prohibited 6. Enough number of relivers to be considered by the contractor as the requirement provided is according to full day working. Duty roasters to be made accordingly and vendor has to ensure weekly off is provided to all workers. Note that the manpower requirements are provided excluding of Relivers and needs to be additionally considered. 7. Below are the list of tentative task, which is to be perform by housekeeping staffs: - a. Common/public Area: - • Dusting & Removal of all visible dust from the Lobbies. • Empty wastebaskets and paper recycling baskets (keep contents separated). • Damp wipe for any spillages. • Spot clean all walls, doors, doorframes and interior in partitions and doors. • Spot clean all bright metal. • Damp mop and polish ceramic, slate and / or quarry tile floors. • Dust mops all resilient floor areas. • Damp mop all resilient floor areas. • Spray buff resilient floors to maintain good gloss on rotation basis in corridors and aisles. • Check all areas before leaving and report any abnormality to Security. • Polishing of all bright metals. • Provide complete and thorough dusting of all horizontal surfaces above eye level (5’- 6’). • All overhead light fixtures. WASH ROOMS (LADIES & GENTS) -. • Clean, disinfect and polish all vitreous fixtures including toilet bowls, urinals, and sinks. • Clean and polish all chrome fittings. • Clean and disinfect all surfaces such as toilet seats, containers, etc. • Empty wastebaskets and paper. • Recycling baskets (keep contents separated) . Damp wipe away any spillage. • Wash all mirrors. • Spot clean all walls, doors and toilet partitions and maintain dust – free environment. • Sweep floors. • Damp mop floors with disinfectant. • Refill all dispensers. • Wash all walls, doors, toilets, and partition from floor to ceiling. • Scrub Floors & Ceramic Tile Base. • To Ensure toilet papers and the toiletries available in all toilets MANAGEMENT OFFICES / WORK STATIONS • Vacuuming of carpet and hard to reach areas • Cleaning of office furniture • Cleaning of office equipments i.e. computers, fax m/cs, key boards, telephone instruments etc. • Ceiling fixtures & AC diffusers Common Areas Basic: • Daily dry dust collection using dust control acrylic mops. Damp mopping with Kentucky mops & spill proof mopping trolleys • Washer/wiper cleaning of all windows • Dry/damp wiping of all furniture • Lint - free wiping of all glass shelves/cabinets/partitions etc. Using special chemicals and procedures Office Areas Basic: • Litter collection using lobby dustpan/broom + carpet brush • Dry mopping of floor using Microfiber mops • Dry/ damp wiping of all workstations/furniture • Dry/damp wiping of all computers/telephones/printers etc. • Washer/wiper cleaning of all windows using glass cleaning agents • Emptying of all wastepaper bins. Intensive: • Daily Dry vacuum cleaning of entire carpet area • Vacuum cleaning of blinds, all corners • Spotting /stain removal from carpets using stain removers 8. WASTE MANAGEMENT Housekeeping staffs shall effectively manage the waste management emphasizing such Practices as: • Remove of general waste on daily basis, from Monday to Sunday. • Empty metal containers & dust bins daily, as frequently as necessary instructed by AMNS representative. • Leave no refuge, garbage, or waste in the public area or anywhere in the premises. · Absence of Manpower # • In case of short fall in deployment, the invoice will be processed as per proportionate deployment. Payment shall be made as per actual deployment and minimum wage basis. In case absenteeism of manpower is more than 5% of total man days. In such condition Rs.100/per day per person will be levied on manpower on proportionate billing. • Manpower without Uniform and PPEs # If manpower was found without PPEs and Uniform than • Rs.100/Day/Instance will be levied on vendors. • Shortage of Material # Incase vendor is unable to supply the material as per check list and requirement, then 2000/- or Actual Cost of material shortage will be deducted from the bill. • Delay arrival/ early going of manpower on duty# Reporting time on Duty, in case of manpower report late on duty in such instance Rs.100/per day / per person will be levied on vendor. • Job not done as per specifications / instructions # In case is manpower does not perform the job as per directives/ checklist given or quality of work is not good. In such case 200/per day/ per Instance will be levied on vendor. • Damage to company property # In-case of any damage to company property 2.5 times of actual property cost will be deducted from vendor bill. • Complaint/Negative Feedback- In case of any complaint and negative feedback for not providing the toilet cleaning services as per scope of work, penalty of 1000/instance will be levied on vendor. Scope of Work- AMNS 1. Site supervision and cleaning to be check by company area in charge. If cleaning not found up to the mark area, then area in charge can stop the work and ask for the replacement of the workmen. 2. Company shall witness /arrange regular and periodical inspection of the above-mentioned jobs. 3. Company shall review the service performance periodically, and if the services are not found satisfactory, will dis-continue the contract. 4. Housekeeping materials will be provided by AMNS.
